Planning Coordinator

GENERAL ACCOUNTABILITY

This position will be responsible for coordinating, organizing, implementing, utilizing, disassembling and storing sensitive proprietary information and processes per quality assurance and industry standards.

 

SPECIFIC ACCOUNTABILITIES

This position is responsible for, but not limited to, the following job tasks:

  • Participates in planning meetings, with all project relevant departments, as required prior to initiation of aircraft work scope.
  • Oversees activities to ensure the work is scheduled and any required materials are in place before the time of production.
  • Promotes teamwork and cooperation with all departments to ensure customer satisfaction.
  • Generates Aircraft and Fabrication work orders.
  • Assist Quality Assurance/Control (QA/QC), Production, and Engineering Departments, as required.
  • Act as a liaison between Production and Operations.
  • Assist with short-term, interim projects, as directed.
  • Recordkeeping of sensitive information within internal and manufacturer documentation portals.
  • Prepare and organize production materials for Cabinet Shop and Avionics Departments, including Material Data Lists and Material Specifications.
  • Assist with record retention, utilizing a per-monument filing system.
  • Strong commitment to continuous improvement processes to institute standardized, streamlined handling of documentation and project planning responsibilities.
  • Support other departments such as Quality Assurance and Administration with daily operational tasks.

WORKING CONDITIONS

 

  • Regular periods during which physical effort is required, e.g., walking, standing, stooping, climbing, lifting material or equipment, some of which may be heavy or awkward.
  • Exposure to factors such as temperature variations/extremes, moderately loud noise, fumes, moving machinery, humidity, and hazardous chemicals.
  • Frequent need to give concentrated attention, either hearing, seeing, visualizing, drafting, to what is happening and work being performed.

 

 

EDUCATIONAL BACKGROUND & EXPERIENCE REQUIREMENTS

  • Bachelor's degree from an accredited 4-year institution or equivalent combination of experience and education in intensive administrative and/or program planning is preferred.
  • Prior experience in corporate aviation administration and/or operations is preferred.

 

  • Excellent collaborative problem-solving skills with an ability to implement solutions, prioritize competing priorities and resolve potential conflicts.
  • High School Diploma or GED required.

 

SKILLS/COMPENTENCY REQUIREMENTS

  • Ability to multitask, forecast, and organize large amounts of information
  • An inquisitive, detail-oriented nature with a strong continuous improvement mindset
  • Ability to work overtime and weekends as required.
  • Intermediate PC skills in Microsoft Office applications, including Word and Excel.
  • Ability to effectively communicate (orally and through written communications) with staff on all levels of the organization, including clients and the general public.
  • Assertive, professional, self-motivated and ability to work independently

Must be willing to work a flexible schedule and work overtime including weekends to meet business demands as required
