GENERAL ACCOUNTABILITY

Perform duties involved with the obtaining of materials, equipment, parts, and supplies within the limits of delegated authority at the lowest possible cost while maintaining a consistent standard of quality.

SPECIFIC ACCOUNTABILITIES

The Parts Clerk / Buyer shall be responsible for, but not limited to, the following job tasks:

  • Issue material and parts to personnel based upon receipt of work order; enter work order into inventory system to relieve inventory of stock.
  • Pull parts and ready for employee pick-up.
  • Organize parts room and counter area as needed.
  • Participate in the annual inventory of stock and reconcile inventory with physical count.
  • Performs other assigned duties that include, but are not limited to, stocking, cleaning, customer service, truck loading/unloading, delivering and inventory management.
  • Analyze reorder list to determine which shop and inventory items need to be purchased: monitor stock usage and adjust reorder quantities as necessary.
  • Review requisitions for stock and non-stock items and obtain competitive bids on items to be purchased.
  • Prepare purchase order and submit to vendor for acquisition of items; enter purchase order into computer and post to general ledger.
  • Approve invoices for payment and issue check requests for incoming orders and past due invoices; work with accounting to resolve discrepancies.
  • Create invoice for counter sales; enter into computer and provide to accounting for payment.
  • Disburse parts to personnel based on work order and enter data into the computer to relieve the inventory.
  • Interview and evaluate vendor's bids and recommend vendors consistent with considerations of price, quality, reliability, cost, delivery, service, standards of quality.
  • Contact vendors to expedite items purchased and to ensure items are forwarded on specified shipping date. Contact vendors on adjustments, return or replacement of defective or damaged material or parts, incorrect material or parts and delayed or late deliveries.
  • Maintain files and records of current and potential vendor prices, deliver dates, inventories, etc.
  • Maintain files of back orders, purchase orders, invoice files, and related purchasing records
  • Participate in annual inventory of stock and reconcile inventory with physical count.
  • Work with vendor reps to research and identify part numbers.

WORKING CONDITIONS

  • Regular periods during which physical effort is required, e.g., walking, standing, stooping, climbing, lifting material or equipment, some of which may be heavy or awkward.
  • Exposure to factors such as temperature variations/extremes, moderately loud noise, fumes, moving machinery, humidity, toxic materials which may cause periods of discomfort.
  • Frequent need to give concentrated attention, either hearing, seeing, visualizing, drafting, to what is happening and work being performed.

EDUCATIONAL BACKGROUND & EXPERIENCE REQUIREMENTS

  • Minimum of three years experience in similar or related position in order to gain sufficient knowledge to fulfill the duties of the position.
  • A minimum of 1 year computer experience; Corridor Software knowledge preferred.
  • High School Diploma or GED.

 

SKILLS/COMPENTENCY REQUIREMENTS

  • Ability to multitask.
  • Entry level to Intermediate PC skills in Microsoft Office applications, including Word, Excel, Access, PowerPoint.
  • Ability to effectively communicate (orally and through written communications) with staff on all levels of the organization, clients and the general public.
  • Ability to complete basic math computations accurately.
  • Fluent level of English.
